Preparing your presentation
Please prepare your presentation in 16:9 format (screen are in format ratio 16:9). Format ratio 4:3 is possible to use as well however be aware that black side bars will be added.

We recommend you save your PowerPoint presentation using PPT(X) format or PDF.

Template
The intro and background template slides are available HERE. It is not mandatory to use them for the presentation(s).

Session Halls and Audio-Visual Equipment
All session halls are equipped with standard PowerPoint presentation facilities. All presentations will be networked to the appropriate room “Speakers’ Ready Room” (located in the meeting room 0.6 Madrid) and your presentation must be submitted to the “Speakers’ Ready Room” at least 30 minutes in advance of your session.

We kindly ask you to bring your presentation on USB (memory stick) to the Speakers’ Ready Room (meeting room 0.6 Madrid) where the technicians will upload the presentation into the system.

A technician is available in every session room to provide assistance when needed. Due to the online presentation system, all speakers are kindly requested to use provided PC onsite. Please be present in the session room 15 minutes prior the start of your session and follow the instructions from the Chairs and/or technician. During your presentation a remote control will be available for controlling your presentation. Please observe the time allotted to you as you will not be permitted to speak for longer time. At the end of the Congress, all presentations will be deleted from the presentation system and computers on-site.

Speakers’ Ready Room
All speakers are asked to upload their presentation at the Speakers’ Ready Room (located in the meeting room 0.6 Madrid) at least 30 minutes before the beginning of the session or the day before in case of a morning session.

Essential guidelines for remote (online) speakers

Basic points and the purpose

  • Platform used for the remote speakers will be ZOOM
  • Remote speakers are kindly asked to deliver their presentation(s) before the congress. This would serve as a back-up only in any case.
  • Speakers should connect “LIVE” during their session(s) to allow real time interactions with the panel and audience. There will be dedicated time for Q&A for each presentation.
  • This process will allow the audience to communicate during the session. Participants will be able to use a CHAT box (via VIMEO) to ask questions during and immediately after the presentations.
  • The aim is to re-create the feel of fully live sessions.

How to connect “LIVE”

A week prior to the congress at the latest, remote (online) speakers will receive ZOOM link for the relevant session. If you haven’t used the ZOOM app in the past, please open ZOOM or install the Zoom.us application on your computer from http://zoom.us/download. Once the application has installed, click ‘Sign In’ (for existing account users) or ‘Sign up’ to create a free account.

Tips for your remote active participation

  • Make sure you are in an area that is as quiet as possible.
  • Avoid areas that have echo. Rooms should be fairly small. Sound damping with carpeting, curtains, furniture helps.
  • Do a test a couple of minutes and review the sound and picture quality.
  • When entering Power Point’s presentation mode, we recommend using the laser pointer (in full screen mode: right mouse click --› pointer options --› laser pointer)
  • Remember dress code, business casual is preferred. Prefer white walls in the surroundings, light your face and do not position your camera against windows.
  • Have the camera at eye level, do not look down at the screen.
  • Please make sure the background is tidy… .).
  • Try not to read out a prepared text – be spontaneous.

The COI declaration is mandatory, and the latest statement must appear on the first slide of your presentation.
